.238 -> (upbeat music)
.15 -> - [Scott] You may already be familiar
.74 -> with some of Google drives more popular tools such as Docs,
.92 -> Sheets, or Slides, but if you come down to the more option,
.45 -> you'll find perhaps one of the most powerful tools
.03 -> here within Drive, and that is Google Forms.
.24 -> So in today's video, I wanna show you everything you need
.67 -> to know about creating forms, surveys
.88 -> or participant feedback right here from within Google.
.86 -> Hello, everyone, Scott Friesen here at Simpletivity,
.45 -> helping you to get more done and enjoy less stress,
.79 -> and if we select Google Forms,
.84 -> it's going to open up a brand new form for us
.67 -> to start working with, so let's get started.
.69 -> Here's our untitled form and probably the first thing
.03 -> that you want to do is give your form or your survey
.96 -> or whatever, you're going to use this form for a title.
.73 -> So let's just call this one form number one,
.57 -> let's keep it nice and simple.
.64 -> Now below, you also have an option to add a description.
.18 -> Now, this is not a requirement,
.4 -> but sometimes it can be helpful to add a brief description
.28 -> just to let the survey participant
.65 -> or whoever is going to be accessing this form,
.93 -> you know why you would like them to fill this out?
.66 -> Now down below,
.52 -> you will have an initial question already pre-populated.
.64 -> It's just titled untitled question,
.85 -> and we've got option one number here.
.96 -> So let's start with an easy one.
.07 -> Let's start with what is your name, right?
.21 -> And the great thing about Google Forms,
.29 -> is that you may have noticed
.49 -> that that multiple choice option
.63 -> which was here just a moment ago,
.25 -> has actually changed because Google Forms assumed
.72 -> that I was asking a short answer question,
.49 -> and it actually automatically made that change for me,
.42 -> which is great because this is exactly what I'm looking for.
.28 -> I just want a short text box
.29 -> so people can enter in their name.
.1 -> Now of course there's a wide variety of questions
.02 -> in which we can ask including both short-answer
.98 -> and long-answer, such as a paragraph,
.7 -> multiple choice, checkboxes and dropdown
.22 -> are among some of the most popular options,
.77 -> especially because it's so easy for the participant
.04 -> to fill things out.
.64 -> Another great option within Google Forms
.36 -> is you can actually allow users to upload a file
.54 -> if you want them to send you a screenshot, or upload a PDF.
.48 -> Maybe you need them to sign a contract
.15 -> or sign a permission form, you can do that here
.7 -> with file upload, and then there's a few different scales
.78 -> and grids a linear scale, you're probably used
.07 -> to seeing this, usually like a five-point scale,
.75 -> something like never, rarely, sometimes, often
.65 -> and all the time, a multiple choice grid, a checkbox grid.
.96 -> You can also allow them to choose a date or time.
.31 -> We're not gonna go through every single option here,
.73 -> but I encourage you to experiment
.58 -> and use these different options as a part of your form.
.28 -> So for this first question, what is your name?
.44 -> We want it to be a short answer, that's great.
.64 -> Let's take a quick look at some of the other options
.46 -> that are available to us here.
.14 -> Here, we can duplicate this question.
.58 -> This is very helpful if you have something
.79 -> like a multiple choice answer field,
.17 -> and maybe the answers are going to be the same
.96 -> for a another question,
.21 -> so you can just easily duplicate that question.
.59 -> Here we can delete this question if we need to,
.36 -> and then we have something that's called required,
.26 -> there may be some questions within your form that you want
.58 -> to force the user to respond to.
.28 -> So by selecting this slider,
.59 -> they will not be able to submit the form,
.3 -> until they answer this question, or any other question
.92 -> that you may have selected this slider for.
.37 -> All right, now that we've got our first question here,
.97 -> let's add a few more.
.66 -> To do that, we wanna go over to the right
.81 -> and we've got this sort of floating menu here,
.04 -> and we wanna hit the plus button,
.58 -> that's gonna add a new question.
.45 -> So let's add a multiple choice question this time around.
.45 -> How is your day going so far?
.94 -> Alright, so option number one, maybe I wanna say,
.03 -> it's great, you know, that's one option.
.23 -> If I wanna give them another option go down to number two,
.4 -> it's okay, and maybe a third option,
.09 -> I'm gonna say it's been a bad day.
.7 -> Alright, so I've got three multiple choice options here.
.46 -> I can continue to add as many options as I'd like,
.02 -> but you'll also notice that there's an add other option,
.93 -> and you're probably used to seeing this
.16 -> in other forms as well.
.69 -> I can add an other options so that if they don't relate
.27 -> with any of the choices given here,
.6 -> well, they can write in their own option,
.073 -> that can be very helpful.
.95 -> It may just depend on the type of question
.1 -> that you're asking.
.39 -> Now if you want to remove any of these questions,
.33 -> you simply just need to choose the X over here
.41 -> on the side.
.243 -> There I've gotten rid of my other question.
.07 -> You can also rearrange your questions,
.57 -> you can see the six little dots.
.6 -> If I want the okay option to be first,
.4 -> I can put that at the top, and maybe it's been a bad day,
.67 -> I want that as the second option, I can move them
.94 -> in any order that I like.
.32 -> You'll also notice that there's a little image icon here
.57 -> to the right as well,
.03 -> depending on the type of question you choose,
.68 -> such as multiple choice, you can add an image
.27 -> to these answers.
.83 -> So maybe I want a great big happy face beside great.
.17 -> Maybe I wanna sad face beside, it's been a bad day,
.68 -> or maybe depending on my question,
.31 -> maybe the question is something like,
.96 -> hey, which of these pictures do you like the most?
.29 -> Or which of these logos do you think our company should use?
.87 -> You don't even have to have any text,
.51 -> you could just have them as an image-based answer
.48 -> for the participant to choose.
.55 -> All right, let's maybe add let's keep
.13 -> with the hover area here
.5 -> because there's a few more options we can use as well.
.29 -> The second choice here is to import questions.
.06 -> So this is great, if you've already created some forms
.38 -> within Google Forms,
.41 -> maybe you want to repurpose some questions,
.32 -> particularly some complicated questions
.45 -> that you've used in the past.
.73 -> Here, I've got some other forms,
.19 -> I could import existing questions into this new form.
.48 -> This one down below is actually not about changing the text
.77 -> or the text size, but it has to do with adding a title
.13 -> and description.
.36 -> Now if I select this, it's not going to replace
.84 -> the title at the top of the screen,
.97 -> but maybe you'd like to add a title
.66 -> or some additional description further on in your survey.
.3 -> So if I select this,
.39 -> you can see I've got a new section here,
.22 -> I'm just gonna say, keep going,
-> and I can add a description if I want.
.11 -> Don't, don't give up.
.47 -> Or maybe you just wanna tell people what's happening
.97 -> in the next part of the section,
.45 -> if you wanna add a little more detail,
.19 -> but it's not exactly a question, you can do that
.73 -> by adding a title here.
.697 -> I'm just gonna get rid of this by selecting delete
.89 -> in this particular example, you also see the ability
.56 -> to add an image or add a video,
.79 -> and let's maybe add an image just as a quick example,
.96 -> you can either upload an image from your device,
.22 -> you can take a snapshot if you know the URL,
.03 -> or you can look at some of your files within your albums
.07 -> or within your Google Drive.
.7 -> So if I'd say choose an image to upload here,
.99 -> I'm just gonna see if I can find something,
.13 -> something quick, let's do this one,
.61 -> this bunch of Google Apps here,
.48 -> it's gonna upload that image and then insert it directly
.97 -> into my form.
.19 -> Now you'll notice this is not a type of question.
.59 -> I can't add a question on top of this,
.26 -> but the way where this image or adding video may be helpful,
.99 -> is that if you have a set of questions relating
-> to this afterwards, so you could tell them here,
.24 -> you know the next three questions
.17 -> or the next few questions relate to this image
.15 -> or look at this image carefully,
.92 -> and then answer the next few questions,
.48 -> and so they can always use this as a reference.
.85 -> The last thing that we wanna see here is that we can add
.21 -> a new section within Google Forms.
.99 -> So if I choose this option,
.67 -> you can see that it's created some separation.
.91 -> Now I've got section one of two,
.27 -> for the first couple of questions that I've created,
.54 -> and I can create a whole new section here.
.41 -> Now this can be very valuable,
.86 -> if you are wanting to break up a very lengthy form,
.39 -> a really good rule of thumb is to limit
.06 -> about maybe four or five or maybe six questions
.18 -> at most per page, and then force the user to click next
.41 -> or to move on to a another section.
.47 -> The reason being is that sometimes
.39 -> when people open up your survey, or your form,
.67 -> or your feedback, whatever you're using this form for,
.73 -> if they see you know, 27 questions or a very,
.13 -> very long list, they might give up before they even begin.
.94 -> So breaking it up into sections can be very, very helpful.
.64 -> Here's our new section
.79 -> and I'm gonna actually add just one quick,
.92 -> quick sample question here.
.93 -> Just say option one, option two, option three,
.08 -> just so we can use it in our preview, just so you can see
.81 -> what this looks like with the different sections.
.37 -> Now before we see the preview,
.36 -> let's take a look at customizing the theme here
.82 -> within our survey.
.76 -> Up here at the top,
.593 -> you'll see that there's this customized theme palette
.08 -> and if we select this, we've got a few different choices,
.75 -> we can choose an image for the header section
.85 -> for the beginning of our quiz or our form.
.63 -> I've got an example over here something very colorful,
.14 -> but of course, this could be your logo,
.41 -> it could be a brand name or a title of the survey,
.16 -> you can add at the top of that survey.
.75 -> You can also quickly change the theme color.
.95 -> So if I'm doing something for Simpletivity,
.12 -> well maybe I want something a little more blue in my theme
.12 -> or maybe I want something a little more bright,
.04 -> like this orange.
.46 -> I can also change the background color,
.53 -> if I want it to be all white or if I want more of a contrast
.46 -> between the questions and what's going on behind the screen.
.42 -> Our last choice is to change the font style,
.76 -> however, I would be careful about this.
.43 -> They've got this decorative text here and a few other
.51 -> that often makes it a little more difficult to read,
.13 -> I would recommend that you either keep it basic,
.54 -> keep it on something that's very easy
.49 -> for your participants to read.
.43 -> So you can change your theme here as well.
.54 -> Okay, now that we're happy with the theme,
.49 -> we've got sort of the basis of our quiz or our form here,
.47 -> let's take a preview and here we have this little eyeball.
.72 -> If we click preview in a new tab,
.27 -> it's gonna open up our form.
.47 -> So here is section number one,
.16 -> remember we only had a few questions here, right?
.02 -> So I can say my name is Scott.
.5 -> My day's been it's you know, it's going pretty great today,
.99 -> I'm gonna select my last option there,
.71 -> and now you can see I've got a next button
.11 -> because I still have another question to go right.
.42 -> So if I select Next, I can go over here,
.27 -> and here is that additional question as well.
.55 -> So this gives you a feel for what users are going to see,
.1 -> this is actually the exact same thing
.1 -> that they are going to see when you share this form
.96 -> with others, but there's one careful note here.
-> If you hit Submit, if I hit Submit right now,
.69 -> it is actually going to add this information
.48 -> to the results of this form.
.7 -> So be careful, this is actually more than just a preview.
.39 -> It's actually a really, it's a real live link to your form.
.9 -> So not only does it show you how it's going to behave,
.87 -> but if you hit submit, it may skew your data,
.29 -> depending on you know what you're using your form for.
.2 -> So I'm gonna close this one off,
.35 -> yes, I'm gonna leave this let's go back to our form as well,
.68 -> and let's take a look at our settings.
.55 -> Just before we send this out to our participants
-> what other settings are available to us.
.52 -> Well here under General,
.81 -> we do have the choice to collect email addresses
.71 -> if we want to force users to submit an email address
.37 -> and then of course, they can choose
.82 -> to get a response receipt
.54 -> as well if you wanna send them their responses,
.92 -> making sure that they've been submitted correctly.
.6 -> You can also require users to sign in
.85 -> and this will limit them
.05 -> to respond only once per email address.
.51 -> So this can be helpful if you don't want someone to,
.8 -> you know, repeat and and continue to submit
.79 -> into that form time and time again.
.21 -> However, this can also sometimes be a barrier, right?
.68 -> And if you don't want people to have additional steps
.89 -> in filling out your form.
.71 -> Lastly, you can choose if you want respondents
.78 -> to edit their submission afterwards,
.12 -> or if you want to allow them to see a summary chart
.04 -> or text responses afterwards as well.
.39 -> Now there's two other options here as well,
.12 -> under presentation we can choose to show a progress bar,
.78 -> so as you're looking at the different sections,
.29 -> you can let them know, oh, you're 33% of the way complete
.04 -> or you're 67% of the way complete,
.9 -> depending on how many sections you've set up.
.16 -> You can choose to shuffle the question order.
.8 -> Now, you wanna be careful with this as well,
.44 -> 'cause this is going to shuffle up all of your questions
.99 -> within your form.
.5 -> So just be careful if this is a necessity or not for you.
.09 -> Last one, and this one is checked by default is show a link
.04 -> to submit another response.
.88 -> If you don't want people to submit multiple times,
.38 -> sometimes you can leave this unchecked,
.2 -> and then uncheck this one
.06 -> so they don't submit another response.
.82 -> Last but not least,
.79 -> you can customize your confirmation message,
.72 -> you know, thanking them and letting them know
.37 -> that their form has been submitted.
.27 -> The last one here has to do with quizzes
.09 -> and I'm just gonna give you a very brief overview.
.23 -> If you are a teacher or an instructor,
.95 -> you can choose to make this form a quiz and that allows you
.97 -> to actually grade the quiz
.58 -> as the individual goes through the questions,
.17 -> you can highlight missed questions.
.04 -> Again, not for everyone but some powerful tools here
.29 -> within the Settings window.
.37 -> All right, now that we've adjusted our theme,
.38 -> we've taken a look at the preview,
.68 -> we've adjusted our settings, let's send this form out
.34 -> and we're gonna select the send button here,
.55 -> and we've got a few different ways in which we can do so.
.43 -> Again, we've got the choice here to collect email addresses,
.17 -> if we want from this screen,
.99 -> you can actually send that email directly from this dialog,
.56 -> you can just copy and paste your email addresses,
.22 -> you can adjust the subject and the message if you want,
.35 -> but I think perhaps the most popular way
.67 -> of sharing a form is via a link.
.77 -> So here's your unique link that you can copy and paste,
.01 -> you can put it within an email,
.53 -> you can put it in social media,
.24 -> it even allows you to shorten that URL,
.61 -> if you like, as well.
.06 -> So you can copy and paste this
.64 -> and put this wherever you like.
.52 -> Our last choice here is if we want to embed this
.55 -> and in the form of HTML.
.47 -> So if you wanna put this on a web page on a website,
.12 -> you can do so as well by copying this and pasting it
.47 -> within your HTML editor.
.05 -> All right, well, last but not least,
.18 -> now that we've sent out our form,
.9 -> let's take a look at our responses,
.69 -> and to view your responses, you can see that
.04 -> that there is actually a second tab
.69 -> to the right of questions.
.53 -> Now for this form that we've just created,
.61 -> we don't have any responses, but I do have another sample
.67 -> that I want to show you.
.21 -> Here's the one that I showed you earlier with the header,
.41 -> and we've got three responses.
.8 -> So if we click on the responses tab,
.71 -> here, you can see a summary of all of our answers,
.91 -> so what did they write
.17 -> for this multiple choice question here?
.74 -> This was a short-answer question,
.52 -> so here are our three different responses,
.54 -> and then I asked them what date is it today
.19 -> and they all gave different dates,
.01 -> so I think only one of them was correct.
.97 -> Now, this is the summary view.
.22 -> You can also view this by question.
.51 -> So if I just want to look at that first question,
.85 -> I can look at all of the answers here
.72 -> and I can toggle to the next question,
.05 -> it shows me what the question is,
.55 -> and I can see what the responses are.
.48 -> Lastly, I can actually look at the individual responses,
-> so by choosing this option, I can actually dive down deeper
.25 -> and say, okay, well what the participant one say overall,
.08 -> he or she said yes, okay, and then this date.
.79 -> So depending on what you're after,
.57 -> you can drill down a little bit deeper.
.1 -> You'll also wanna know that within the responses tab,
.37 -> this is where you toggle responses on or off.
.64 -> So if I turn this off, I can safely edit things,
.92 -> and know that no one is going to be able to respond
.72 -> at that time, but be careful
.05 -> 'cause anyone who has the existing link,
.92 -> is not going to be able to access or submit those responses,
.23 -> so you can toggle that here.
.06 -> The last thing I wanna show within the responses menu
.49 -> has to do with this little Google Sheets icon.
.83 -> So this allows you to view your responses in Google Sheets.
.16 -> So up here, this is exactly what it looks like.
.25 -> We still have all the same responses
.65 -> that we saw on the previous screen.
.81 -> It includes a little timestamp showing us when
.53 -> that person submitted that survey,
